Attention goes to the whole shape and the point of it. Give them the what-for before the detail and they will fill in the rest themselves. Opening with procedure tends to make the conversation feel long.
Checks whether it holds together first. This is not a dismissal of feelings — the reasoning simply needs to come first in the order. Attaching a reason is often all it takes for the same request to go through.
Settled things are what put them at ease. Being clear about the deadline and the scope spares them a lot of unnecessary worry. “Whenever suits you” is meant kindly but often just leaves them hanging.
